We currently have an external opportunity for the position of **Administrative Assistant**, to be based in the **Body Shop** department.

**Responsibilities and Duties** **Responsibilities and Duties**
1. Generate daily attendance spreadsheets for employees, specifying absences, leaves, vacations, and other occurrences, for area and manager oversight and control.
2. Perform various tasks supporting Human Resources routines, including monitoring employee time clock entries via system, making necessary adjustments, requesting maintenance or replacement of time clocks, replenishing thermal printer rolls, maintaining absenteeism control spreadsheets with reasons and absences from the previous day, performing periodic closures of such spreadsheets, generating overtime and justification spreadsheets detailing total hours worked per employee, preparing work schedules, handling complaints regarding non-receipt of due earnings, overtime, and night shift allowances, informing vacation dates and specific conditions, issuing forms related to enrollment and cancellation of benefits, among others.
3. Generate various reports, charts, summaries, and spreadsheets to facilitate analysis and understanding of anomalies and daily activities, such as: Updating organizational matrices based on data received from each department’s leaders; updating visual management boards by providing information and attaching it to notice boards, tracking and completing indicators and their respective action plans—e.g., Environmental Control Index, People Observation, Safe Activity Index, etc.
4. Convene leaders and employees for meetings, training sessions, and announcements, as instructed.
5. Assist department employees by conveying or researching information on administrative and Human Resources topics.
6. Organize the department’s correspondence archive, classifying documents chronologically and filing them into appropriate folders to facilitate future reference.
7. Manage control, requisitioning, delivery, and receipt of PPEs, reporting any anomalies (e.g., increased consumption, delayed deliveries, product shortages) to the immediate supervisor.
8. Periodically participate in onboarding new employees, presenting organizational structure data of the department/company via presentation slides.
9. Support execution of company-wide satisfaction and organizational climate surveys using forms and guiding participants on proper procedures.
10. Assist in training, guiding, and developing administrative apprentices by demonstrating daily workflows and addressing questions.
11. Perform other related duties.
**Requirements and Qualifications** **The position requires the following from the candidate:**
**Education:** Completed high school;
**Experience:** Prior experience in administrative routines or in this role;
**Desired Knowledge:**
* Microsoft Office Suite
* SGA and SGQ systems;
* Basic knowledge of HR routines is desirable.
**Work Schedule:** Availability to work the second shift.
