The Administrative Manager will be responsible for supervising all financial operations of the organization, ensuring the company's financial health and providing strategic analysis for decision-making. This professional will lead a team, manage cash flow, and control costs to maximize results and sustainable organizational growth.
**1\. Administrative Responsibilities (General Backoffice)**
* Supervise all administrative routines of the company.
* Ensure organization, standardization, and compliance with internal policies.
* Manage assets, contracts, maintenance, and infrastructure.
* Coordinate administrative procurement (supplies, services, outsourced contracts).
* Negotiate and manage service providers (cleaning, maintenance, IT, security, etc.).
* Create and review administrative processes and indicators (SLA, efficiency, costs).
**2\. Financial Responsibilities**
**2\.1\. Cash Flow and Accounts**
* Manage **accounts payable and receivable**, reconciliations, and cash flow forecasting.
* Control bank accounts, transactions, fees, and financial operations.
* Ensure **daily, weekly, and monthly cash flow organization**.
**2\.2\. Financial Reports**
* Deliver reports on:
* + Management income statement (DRE)
+ Expenses by cost center
+ Margin, EBITDA, and key indicators
+ Cost projections and analysis
**2\.3\. Budgeting and Results**
* Participate in the preparation of the **annual budget (OPEX and CAPEX)**.
* Monitor expenditures and ensure adherence to the plan.
* Propose cost reductions and efficiency improvements.
**2\.4\. Collections and Controls**
* Monitor delinquency and propose recovery actions.
* Control documentation for audits, banks, and accounting.
**3\. Human Resources Department Responsibilities**
**3\.1\. HR Routines**
* Supervise **hiring, terminations, vacations, leaves of absence, and time tracking**.
* Approve payroll calculations and statutory labor charges.
* Coordinate benefits (transportation allowance, meal vouchers, health insurance, etc.).
**3\.2\. Legal Compliance**
* Ensure compliance with:
* + Labor legislation
+ Collective bargaining agreements (CCT)/agreements
+ eSocial (events, deadlines, and occupational safety and health - SST)
**3\.3\. HR Indicators**
* Monitor turnover, absenteeism, payroll costs, and overtime hours.
* Implement internal policies and standards regarding working hours, time tracking, and conduct.
**4\. People Management Responsibilities**
* Lead the HR, finance, and administrative teams.
* Assign tasks, analyze performance, and provide feedback.
* Develop team technical and behavioral competencies.
* Foster a positive, highly productive organizational climate.
**5\. Strategic Responsibilities**
* Serve as the liaison between senior management and administrative departments.
* Translate senior management decisions into practical execution.
* Present reports with solutions—not just problems.
* Lead efficiency, cost reduction, and automation initiatives.
* Implement systems that improve control and governance.
**6\. Process and Control Responsibilities**
* Create and maintain internal controls to reduce errors and risks.
* Standardize processes (SOPs) and ensure operational discipline.
