You will provide administrative support to Customer Service and Services operations, contributing to the planning, execution, and monitoring of processes—including contract and project analysis, demand control, calendar management, billing, and performance indicators. **Responsibilities and Duties**

* Support the planning and execution of administrative and services operations, including contract analysis, project monitoring, internal and external demand control, and support to involved departments—ensuring deadlines, compliance, and efficiency;
* Organize and monitor logistical support processes for operations, such as travel management, routing, transportation, technical resource scheduling, and infrastructure coordination—ensuring availability and proper execution of the board’s activities;
* Monitor billing, revenue recognition, payments, and invoice dispute resolution—ensuring financial control, compliance, and alignment with budgetary planning;
* Support partner and service provider management and contracting—including onboarding, delivery monitoring, and maintenance of up-to-date registration and contractual information—to ensure regulatory compliance and partnership quality;
* Monitor and analyze administrative and operational indicators (including logistics and service costs), develop managerial reports and control dashboards using tools such as Excel or Power BI—providing decision-support insights and identifying improvement opportunities;
* Collaborate in identifying budget variances and propose corrective adjustments—ensuring optimal resource utilization and operational sustainability;
* Design and implement internal board communication workflows using collaborative digital tools; prepare meeting agendas and minutes; and track follow-up actions—ensuring team alignment and timely updates;
* Deliver training and capacity-building initiatives on administrative processes, corporate tools, and best practices—developing supporting materials and delivering content to standardize procedures and strengthen team performance;
* Support continuous improvement initiatives by reviewing administrative and logistical routines, suggesting adjustments to policies and workflows to enhance efficiency and service quality;
* Provide support for certifications, e-learning programs (EAD), and other corporate initiatives—monitoring deadlines, requirements, and compliance with internal and external regulations.
**Requirements and Qualifications**

* Currently pursuing a Bachelor’s degree in Business Administration, Logistics, Transportation Management, or related fields—or completed a Technical degree in Logistics.
* Basic knowledge of logistics software and integrated management systems such as SAP, TOTVS, and WMS.
* Basic knowledge of problem-solving methodologies such as PDCA, 5W2H, and Ishikawa Diagram.
* Ability to interpret and analyze logistics data, with intermediate proficiency in Microsoft Excel and Microsoft Power BI.
* Experience in data segmentation and management within CRM systems such as Salesforce and HubSpot (intermediate level).
* Basic knowledge of aviation regulations applicable to logistics.
* Basic knowledge of route planning and organization using tools such as Google Maps, Waze, or routing systems.
* Intermediate knowledge of project management tools such as Trello, Asana, or Microsoft Planner.
* Intermediate proficiency in Office suite and productivity tools, including Microsoft Office and Google Workspace (G\-Suite).
