Description
Lead the unit's administrative team, safeguarding administrative support processes in accordance with the Company's Policies and Procedures, thereby contributing to the unit's high operational performance.
**Responsibilities and Duties**
* Lead the administrative team, guiding them on executing area-specific processes in alignment with company procedures.
* Ensure issuance of Purchase Orders (POs) for procurement and service contracting at the unit per company procedure, and obtain supporting documentation for payment of Autonomous Payment Receipts (RPA's) from suppliers.
* Ensure team members' competence in performing their duties and career development, provide close management and continuous follow-up, promoting engagement, integration, and a positive work environment.
* Perform unit-level personnel administration activities—including hiring, termination, vacation processing, medical exam referrals, time tracking, PPE requisition, etc.—in coordination with and per the procedures of the Human Resources Department.
* Receive and support regulatory inspections during visits to the unit, as well as address related requests generated by inspectors.
* Control, request, and store preliminary injunctions from customers applying for Funrural exemption.
* Monitor expiration dates of permits and other licenses required for issuing invoices, and verify invoice status with SEFAZ as needed.
* Ensure verification of expenses and expenditures made via the unit's corporate card per company procedure.
* Monitor the unit's Accounts Receivable and identify deposits; ensure proper payment allocation for grain contracts and other financial expenses related to the unit.
* Maintain the unit’s upkeep, hygiene, and presentation.
* Support and respond to external and/or internal audit-related processes and requests.
* Manage the team's operational activities, including functional monitoring, time tracking and hour bank control, and temporary staff hiring during harvest periods.
* Monitor and assist in inventory management (where applicable to the unit’s structure), including physical counts and verifications conducted jointly with the team.
* Monitor legal matters related to inventory, CREA, SEAPA, FEPAM, ASVALE, permits, and SIGA.
* Resolve outstanding grain-related customer issues, monitor and justify pending balances (financial discounts/physical adjustments) and associated documentation.
* Process credit release requests based on information and assessments received from the Commercial Department.
* Issue grain purchase contracts (using available purchase templates and lot numbers), collecting signatures and supplementary documents.
**Requirements and Qualifications**
Bachelor’s degree
Basic knowledge of Human Resource Management.
Basic knowledge of Tax and Accounting principles.
