





**Job Mission** Serve as the central hub for administrative and reception support within the company, ensuring prompt, courteous, and efficient service to employees, clients, and partners. Guarantee office organization, proper execution of administrative routines, and timely fulfillment of deadlines related to travel, procurement, maintenance, and payments. **Responsibilities** * Process Purchase Orders (POs) and monitor approvals in accordance with internal policies. * Manage fixed accounts and supplier relationships. * Organize corporate travel, including hotel reservations and purchase of air and bus tickets. * Procure office supplies, consumables, and general-use materials. * Handle, organize, and track activities using spreadsheets. * Provide in-person, telephone, and email support to clients, employees, and executive management. * Monitor visitor entry and exit. * Arrange vehicle rentals when necessary. * Send invoices and payment slips related to reservations and services managed by the reception desk. * Support general office maintenance (e.g., air-conditioning cleaning, filter replacement, door and lock maintenance, minor structural requests). **Requirements** * Completed high school education. * Proficiency in Microsoft Office Suite, with emphasis on Outlook, Word, and Excel. * Skills in face-to-face and telephone customer service. * Basic knowledge of logistics and corporate travel coordination. * Fundamental understanding of accounts payable and administrative routines. * Basic knowledge of inventory control and supplier relationship management. * Ability to manage schedules and organize administrative routines. * **Preferred: Technical or undergraduate degree in Administration, Secretarial Studies, Business Management, or related fields.** * **Advantageous: Experience with RM TOTVS system; training in customer service, administrative routines, or executive reception.**
