Manages document control, responds to requests, prepares reports, and provides logistical support, ensuring structured information flow. Directly supports travel management, scheduling, corporate events, contracts, and payments, contributing to operational efficiency and standardization of administrative processes. Also manages executive calendars and provides executive support, ensuring proper organization of information within systems and adherence to deadlines and institutional standards. **Responsibilities and Duties** * Perform administrative tasks across various company departments, including data entry into ERP systems, registrations, document control, indicator updates, and management support—aiming for operational efficiency and internal process standardization; * Organize and maintain physical and digital file archives, ensuring integrity, confidentiality, and easy access to departmental information; * Provide direct support in managing appointments, corporate travel, executive calendars, and institutional events, ensuring logistical planning and compliance with company deadlines and policies; * Monitor contract and invoice due dates, tracking renewals and terminations with responsible departments to prevent service discontinuity and mitigate operational risks; * Verify, control, and register invoices in the system, ensuring timely and policy-compliant payment processing in coordination with the finance department; * Prepare consolidated expense reports and spending tracking by department, supplying strategic data for management analysis and decision-making; * Comply with and uphold Safety, Health, and Environment (SSHE) regulations, using PPE correctly and reporting situations posing risks to personal or colleagues' well-being; * Adhere to organizational values, policies, and guidelines, maintaining confidentiality of strategic information and ensuring ethical conduct in performing duties; * Maintain discipline under the 5S program, actively participating in workplace organization and cleanliness, internal audits, and fostering a productive and safe environment; * Safeguard equipment and materials under one's responsibility, promptly reporting any damage or anomalies to the immediate supervisor; * Provide operational support to leadership and other company departments, enhancing administrative and operational routine efficiency with a focus on agility, organization, and quality in meeting internal demands. **Requirements and Qualifications** * Completed undergraduate degree; * Prior experience in the field is desirable. **Additional Information** Benefits: Meal allowance; Health insurance (Unimed); Dental plan; Transportation allowance; Profit-sharing program (PPR); Wellhub; On-site meals.
