Retrieve, prepare, separate, and send materials for Intercompany sample collection and perform general administrative tasks. Meet deadlines while maintaining organization and ensuring the safety of all team members and the integrity of the company. 7 **RESPONSIBILITIES**: GLASSWARE LOGISTICS * Prepare materials for collections, observing hygiene criteria and packaging conditions to ensure sample preservation and prevent contamination; * Dispatch glassware according to requested types and quantities; * Verify and control inventory of bottles or related items, recording entries and exits of glassware, materials, and instruments; * Organize glassware inventory; * Respond to requests from the Sales department to separate and send materials for client sample collections; * Perform other related duties as needed or directed by a supervisor. SCHEDULING LOGISTICS * Schedule collections after budget approval and/or contracts, verifying availability of equipment and materials to ensure smooth logistics operations; * Complete collection forms so that collectors can organize their daily schedules; * Deliver a daily report to each collector to obtain feedback regarding collections at the end of each day; * Monitor collectors' working hours to avoid errors and discrepancies in time records; * Plan collectors' activities for upcoming periods via system and manual scheduling, preventing failures in scheduled collections and improving customer service; * Perform other related duties as needed or directed by a supervisor. NATIONAL AND INTERNATIONAL LOGISTICS * Access DHL and FEDEX systems to issue Air Waybills; * Verify with the Homogenization department all samples to be exported; * Separate, classify, identify, and dispatch Intercompany samples; * Manage routine collection and delivery of samples; * Address general logistics department matters: * Solve problems and identify potential barriers within Brazilian regulations affecting Eurofins' import/export processes; * Monitor and track sample shipments; * Contact the Sales department to report difficulties and possible delays; * Handle general issues with Intercompany laboratories; * Clarify questions related to the Logistics department; * Verify completion of chain-of-custody documentation; * Enter material and service requests into the system and verify associated logistics costs; * Perform other related duties as needed or directed by a supervisor. DIAGNOSTIC MEDICINE SAMPLE LOGISTICS * Close incidents opened in Dynamics CRM, providing all necessary information to the Sales department to properly guide the client. * Determine biological sample pickup dates based on sample stability, result delivery deadlines, and transport time from origin to NTO, whether by air or ground transport. * Plan and coordinate with logistics operators the pickup of biological samples, monitor operational progress, correct any issues that arise, and communicate with the Sales department to guide the client. * Plan and execute international shipment of biological samples, taking responsibility for all required documentation. * Ensure logistics operators provide appropriate transport conditions for samples: transport temperature, proper packaging, and documentation required by technical standards. * Design logistical structures to promptly fulfill requests for new projects. * Plan and coordinate timely shipment of sample collection and transport materials, ensuring sufficient availability to meet demand at collection points distributed throughout Brazil. * Periodically analyze consumption of collection and transport materials to optimize shipping frequency and quantities of supplies sent to clients. * Timely plan and coordinate external administrative services of CATG and occasional home collections, ensuring these operations integrate properly with existing sample pickup routines. * Review invoices from logistics operators, authorize payments, and recover amounts incorrectly charged. * Check operation protocols and records provided by carriers or available on their platforms/websites. Compare them with sample entries recorded in P.U.R.A (Dynamics CRM). * Prevent operational failures and, if they occur, reconstruct events, identify root causes, and propose corrective actions. Issue a case analysis report. * Assist in assembling kits for biological sample transport and collection. * Prepare budgets for operations involving shipment of collection materials or biological sample pickups. * Enter into CRM all relevant information enabling quantification of operation scale and measurement of its efficiency. * Participate in negotiations with logistics operators to establish new business partnerships. * Share knowledge, promote best practices, and guide logistics assistants and aides during daily work routines. * Analyze performance indicators to promote and implement measures ensuring cost reduction and improved logistics operation performance. * Gather and/or generate documentation related to the company's internal quality processes. Perform other related duties as needed or directed by a supervisor. **Qualifications** Commitment, good communication and interpersonal skills, organization, discipline, proactivity, dynamism, punctuality, flexibility, and agility. Completed technical degree in Logistics, Administration, laboratory technical fields, or related courses.
