Contribution to patient care and life transformation **ADMINISTRATIVE ASSISTANT** The Pequeno Cotolengo Joinvilense is a non-profit Civil Society Organization dedicated to specialized care, inclusion, and the promotion of dignity for children, adolescents, and adults with Autism Spectrum Disorder (ASD), intellectual disability, and rehabilitation needs. Inspired by the charism of Saint Luigi Orione, it unites science, faith, and innovation in healthcare, delivering compassionate, high-quality care. Affiliated with the Congregation of the Little Work of Divine Providence – Saint Luigi Orione, present in 34 countries, it operates based on solidarity, love, and dedication to the most vulnerable. The Joinville unit spans 100,000 m² of total area and 700 m² of built infrastructure, featuring consultation rooms, rehabilitation therapy rooms, a themed Peanuts toy library, sensory spaces, and facilities prepared for future equine-assisted therapy services. Care is delivered by a highly qualified interdisciplinary team applying internationally recognized protocols such as ABA, Pediasuit, and Bobath. All operations are sustained by partners and donors, with resources used transparently and responsibly to generate real impact in patients’ lives. The Pequeno Cotolengo Joinvilense is the first branch of the Pequeno Cotolengo Health Complex, whose headquarters in Curitiba has operated for over 60 years. The headquarters is accredited by the Joint Commission International (JCI), recognized among the Top 100 NGOs in Brazil, named the Best NGO in Paraná, and certified as one of the Best Places to Work (GPTW). This trajectory reinforces the institution’s mission: to care for people and transform lives. **JOB RESPONSIBILITIES** • Opening and rescheduling appointments. • Scheduling, receiving, and registering patients in the Tasy system. • Opening outpatient external consultations according to professionals’ schedules. • Coordination with clinical staff regarding appointment scheduling. • Confirming outpatient appointments in the Tasy system to authorize service delivery and progress notes. • Verifying and registering completed appointments and progress notes in the Tasy system. • Managing office supplies for the department, including monthly ordering and receipt verification. • Daily verification of outpatient services scheduled for billing in the current period via BPA (Ambulatory Production Report). • Managing external outpatient schedules in the ESAUDE system (State Health Department). • Hospital admissions via the ESAUDE system. • Generating hospital invoices via the SISAIH system (State Health Department). • Daily review of schedules for multidisciplinary team members and clinical staff. • Supporting financial controls related to service billing. • Drafting, typing, and completing administrative forms, records, spreadsheets, reports, and other documents. • Organizing, updating, and classifying documents and correspondence, including receipt, verification, distribution, and archiving. • Providing in-person, telephone, and email support to the general public, offering information, managing appointments, and directing inquiries to appropriate departments. • Updating the Tasy system regarding admissions, bed reassignments, and registration updates. • Scheduling, receiving, and registering visitors at Reception and Inpatient Units. REQUIREMENTS • Completed high school education. • Prior experience in administrative and/or healthcare settings is desirable.
