The Business Administrative Assistant supports store-level administrative and operational routines, contributing to the smooth execution of sales processes, deliveries, and customer relationship management. Activities are carried out under the supervision and guidance of the Sales Analyst or Area Manager. Key Responsibilities: Store Front Management Support: Assist with daily store walkthroughs to verify operational conditions and availability of customer amenities. Support the creation and follow-up of service requests with responsible departments, and assist in welcoming and directing customers as needed. Store Reservation Support: Monitor daily sales reservations, assisting in verifying pending items such as deposit payments and order signatures, ensuring all required information is accurate for process continuity. Order Portfolio Tracking: Track orders in the portfolio under the guidance of the Analyst or Manager, assisting in status updates and liaising with relevant departments to ensure process advancement and regularization. Documentation and Approval Management Support: Assist in organizing and controlling documentation required for billing requisition submissions, ensuring completeness and proper registration. Delivery Planning (Logistics Support): Support communication between the store and logistics team, monitor delivery progress, and report potential issues to the responsible team. Tracking of Incorporated Costs: Support control of provisions and entries related to machinery, maintaining updated records and reporting inconsistencies to area managers. Used Equipment Entry: Assist in document verification and track the entry process of used machinery into inventory, ensuring completeness of information. System Support for Business Consultants (CENs): Provide system-related support to sales staff, collaborating with the IT team and responsible Analyst to resolve simple issues. Customer Contact and Registration Data Updates: Contribute to updating customer registrations and contact information, following guidelines from Customer Experience and Market Intelligence teams. Sales Prospecting and Campaign Support: Support gathering and updating customer information for campaigns and commercial initiatives. Green Credit Portfolio Monitoring: Under guidance, monitor structured credit portfolios, assisting in documentation organization and coordination with the Consortium and CEN teams. Store Expense Management: Support expense control and recording, assisting the Sales Manager in reviewing entries and executing the budget. Inventory Counting: Support monthly inventory counts and recordkeeping, ensuring alignment between physical and system data. Post-Financing Document Dispatch and Receipt: Assist in controlling and forwarding documents between customers and the finance department, ensuring traceability of dispatches.
