




The Administrative Assistant plays a fundamental role in supporting the maintenance of an organization’s structural, system, technological, and telephony infrastructure. Their primary responsibility is to assist in and ensure that all the aforementioned systems operate efficiently and effectively, promptly engaging the professionals responsible for their operation when necessary, minimizing downtime and resolving end-user technical issues. **1. Information Technology (IT):** * Open and track technical service tickets (Talles system). * Provide low-complexity technical support to employees. * Manage network access for GRIPP via Firewall system. * Organize and monitor the physical space of the IT room. * Provide low-complexity technical support to employees (equipment and connectivity). * Support internet-related issues and implement improvements (partners: Vivo and Algar). * Request purchase and replacement of electronic equipment. * Manage inventory and equipment liability agreements (laptops, computers, mice, keyboards, headsets). * Perform basic computer maintenance, such as formatting and configuration (in partnership with Talles). * Arrange installation of equipment and workspace setup for new or replacement employees. * Manage liability agreements and IP address allocation. **2. Corporate Mobile Device Management:** * Request purchase and replacement of devices. * Configure new devices. * Maintain control over devices and their respective liability agreements. * Configure standard corporate WhatsApp messages. * Request SIM cards and manage active line controls. * Administer email accounts associated with mobile devices (Gmail). **3. Camera Monitoring:** * Monitor the camera surveillance system. * Request and track maintenance services and implement improvements. **4. 5S Team:** * Actively participate as a team member of the 5S program, assisting in audits and fulfilling tasks assigned by the committee. **5. Quiver / Insurance Companies:** * Create users and assign permissions. * Manage active users and passwords. **6. Email:** * Create email accounts and passwords. * Configure and troubleshoot corporate email issues. * Manage licenses and storage capacity. **7. Telephony Management:** * Monitor proper system functionality and open/track service tickets when necessary. * Manage and update extension numbers. * Configure call forwarding and redirections when required. * Manage call recordings. **8. Chatbot:** * Create users and assign permissions. * Monitor team response activities. * Compile results of the monthly Customer Satisfaction Survey. * Compile data on average wait time and handling time (monthly). * Track delivery deadlines for outsourced vendors. * Monitor message consumption. **9. Brokerage Month-End Closing:** * Support month-end closing routines for the brokerage, ensuring correct procedures are followed.
