Job Summary:
A professional responsible for managing administrative, financial, and operational tasks to ensure smooth functioning and organization of the building environment.
Key Highlights:
1. Responsible for administrative and financial management of invoices.
2. Operational support and scheduling assistance for the property manager.
3. Inventory control, security patrols, and reporting for building maintenance.
Responsibilities:
* Enter invoices into the GoSoft system (accounts payable), ensuring compliance with established deadlines.
* Monitor invoice issuance, validity, and due dates for related taxes.
* Issue electronic stamps, verifying the validity of certificates and required documentation.
* Conduct quotations for purchasing materials and contracting ad-hoc maintenance services, as requested by the property manager, third-party teams (maintenance and cleaning), or Hersil representatives.
* Accompany service providers during on-site technical visits to prepare in-person quotations.
* Reconcile the petty cash fund, including invoice entries, issuing payment slips, and monitoring balances for necessary purchases.
* Manage inventory of goods.
* Prepare a monthly spreadsheet reconciling overtime hours (air conditioning) and parking fee allocations.
* Compile photographic reports of purchases and services rendered, as well as monthly reconciliation of purchase expense reports.
* Organize and archive documents, and answer and route telephone calls.
* Assist in organizing the property manager’s appointment schedule.
* Monitor and track service requests submitted to public utility providers.
* Perform front-desk controls and respond to condominium residents’ email requests formally.
* Support the property manager in organizing and signing documents, providing operational assistance to third-party teams, and ensuring service quality.
* Conduct daily patrols to monitor building cleaning, team performance, construction progress, corrective and preventive maintenance, and ensure full equipment functionality.
* Submit monthly reports on parking revenue and other revenues (auditorium rentals, access cards, etc.).
Academic Qualifications:
Completed high school and/or currently pursuing higher education
Minimum Education Level: High School (Secondary Education)
