




Job Summary: Act as the executive team's right hand, ensuring organization, prioritization, and efficient execution of administrative and operational routines, as well as supporting strategic initiatives. Serve as the focal point between the executive team and stakeholders Act as the executive team's right hand, ensuring organization, prioritization, and efficient execution of administrative and operational routines, as well as ensuring smooth office operations and support for strategic initiatives. **Responsibilities:** * Manage the executive team's schedule (Google Calendar), prioritizing tasks and avoiding conflicts. * Organize meetings, internal events, and guest logistics (hotel, meeting rooms, coffee). * Plan and coordinate corporate travel. * Serve as the focal point between the executive team and stakeholders, filtering and directing information. * Draft meeting minutes, reports, presentations, and documents. * Ensure organization and updating of files and contracts. * Manage vendors (maintenance, cleaning, supplies, etc.) and interface with the building management. * Procure office supplies, promotional items, and institutional materials. * Support the creation of simple materials (invitations, announcements – Canva). * Provide ad-hoc support to HR/Personnel (benefits, timekeeping, document organization). * Assist managers with operational tasks during peak periods.
