Event Analyst - Logistics

Job Summary: Professional responsible for event logistics and organization, from supplier reservation and contracting to execution monitoring and quality control. Key Highlights: 1. Education in Marketing, Communications, or related fields. * Reserve restaurants, venues, and meeting rooms for events, verifying all required items such as infrastructure, accessibility, payment methods, and other operational requirements; * Serve as the direct point of contact for delivery and alignment with third parties at in-person events, ensuring execution according to plan; * Contract event decoration, including lighting, flowers, cubes, and other scenic materials; * Purchase event giveaways; * Monitor deliveries and deadlines according to the schedule established by the CS team; Execute direct mail shipments; * Update the cost spreadsheet; * Organize and centralize invoices into a unified folder; * Maintain an updated supplier database; * Provide quotations for event items whenever requested; * Manage and organize physical inventory; * Negotiate deadlines, values, and payment methods with suppliers; * Submit payment requests to the finance team, ensuring proper approval and timely payment within agreed deadlines; * Manage contracts and agreements with suppliers; * Perform comparative budget analysis, preferably with a minimum of three quotations when applicable; * Be responsible for quality control of contracted items, materials, and services, ensuring compliance with the defined standard for each project. Requirements: * Experience in event logistics; * Commercial negotiation skills; * Completed or ongoing undergraduate degree in Marketing, Communications, or related fields. * Ability to manage multiple tasks simultaneously; * High level of organization; * Sense of urgency and accountability; * Proactivity.
