Responsible for negotiating terms and managing inventory A Procurement Assistant supports a company's acquisition of products and services by researching suppliers, requesting quotations, negotiating terms, issuing purchase orders, tracking deliveries, managing inventory, and handling procurement documentation—playing a vital role in organizational efficiency and cost-effectiveness by ensuring the right materials are available at the right time and with optimal cost-benefit ratio. **Key Responsibilities:** * **Supplier Research and Selection:** Identify and evaluate new suppliers to find those best suited to the company's needs. * **Quotation and Negotiation:** Request quotations, compare proposals, negotiate prices, delivery timelines, and payment terms to secure the most favorable conditions. * **Purchase Order (PO) Issuance:** Prepare and send purchase orders to suppliers, specifying agreed-upon items and terms. * **Order Tracking:** Monitor order status, ensure on-time deliveries, and verify the quality of received goods. * **Inventory Control:** Assist in inventory management to maintain appropriate stock levels, preventing shortages or overstocking. * **Document Management:** Organize and archive invoices, contracts, tax invoices, and other procurement records. * **Administrative Support:** Provide support within the procurement function, often serving as a liaison between internal requesters and suppliers. * **Analysis and Reporting:** Evaluate supplier performance and generate reports to optimize the procurement process.
