**IMS ASSISTANT (INTEGRATED MANAGEMENT SYSTEM)**
**Job Summary:**
Support the development, implementation, maintenance, and control of the Integrated Management System (IMS) models and tools, ensuring document organization and contributing to continuous process improvement.
**REQUIREMENTS:**
**Education:**
* Completed Bachelor's degree (Engineering, Business Administration).
**Mandatory Courses:**
* Interpretation and/or Implementation of ISO Management Systems (9001, 14001, and 45001\) – certified.
* Intermediate-level Word and Excel.
**PRIMARY RESPONSIBILITIES:**
* Assist in maintaining and controlling the **IMS – Integrated Management System**, ensuring documents are up-to-date and compliant with ISO standards requirements.
* Support compliance with legal requirements related to quality and environmental management systems.
* Assist in **reviewing, developing, updating, and organizing documents** required for certification processes.
* Control document versions, validity periods, and approval workflows.
* Support the **validation and maintenance of the organizational structure** required for the company’s certifications.
* Conduct checklists, verifications, and internal inspections to support internal and external audits.
* Assist in investigating nonconformities and tracking corrective action plans.
* Support leadership in implementing and maintaining the Quality Management System.
* Assist in delivering and organizing **initial training sessions** on the QMS:
– Operation of the Quality Management System at Lead;
– Quality Policy and Objectives;
– Basic concepts of the QMS.
* Provide logistical and documentary support for internal and external audits, including scheduling, evidence recording, and follow-up.
* Participate in organizing **Critical Review Meetings of the QMS**, the **Annual Training Plan**, and the **Annual Audit Plan**.
* Assist in conducting customer satisfaction surveys, recording complaints, and monitoring associated indicators.
* Perform **process mapping activities**, collecting relevant information and records related to the QMS.
* Support populating spreadsheets, monitoring indicators, and preparing reports.
* Prepare minutes, attendance lists, evidence, and records required by the Quality Committee.
* Support Lead’s general training processes, ensuring proper management of supporting documentation.
* Respond to internal departments’ inquiries regarding documentation, forms, and IMS procedures.
* Maintain files, folders, evidence, and records properly organized and readily accessible for audits.
