Job Summary:
The Territory Administrative Assistant provides support in the administrative processes of the area and assists with activities related to the Rede Cidadã programs.

**POSITION DESCRIPTION**
The Territory Administrative Assistant provides support in the administrative processes of the area, assisting in file organization and supporting activities related to the Rede Cidadã programs.
**ROLES AND RESPONSIBILITIES**
**Perform routine administrative activities:**
· Support the area manager in completing spreadsheets and information controls;
· Update the area’s database and the Rede Cidadã management system;
· Submit the area’s financial reporting to Head Office by completing requisition forms;
· Support the reception desk in public and telephone services when necessary;
· Arrange printing of forms and documents;
· Schedule appointments as needed;
· Maintain relationships with client and partner companies, sending and receiving information whenever necessary.
**Perform support activities:**
· Assist in the selection process for program participants according to Rede Cidadã methodology;
· Refer candidates approved in the selection process to the programs;
· Maintain relationships with partner companies, sending notifications and providing guidance whenever necessary;
· Prepare and manage attendance lists for program classes;
· Ensure pedagogical and support materials are available at the start of each class;
· Negotiate physical space with partner companies, when necessary, to conduct activities;
· Monitor and request snacks for program participants, uniforms (where applicable), and certificates for program participants whenever necessary;
· Update participant information in the system or spreadsheets;
· Monitor training classes: schedule, class coordinator, start date, end date, transfers, class mergers, changes, etc.
* Maintain relationships with partner companies to identify, monitor, and manage vacancies to be filled by participants;
**Support HR Department activities regarding Young Apprentices registered under the Rede Cidadã payroll:**
· Guide partner companies on the hiring process (Rede Cidadã management or partner company management);
· Schedule admission medical exams with the designated clinic and track this information;
· Conduct the apprenticeship contract reading and signing process with young apprentices;
· Arrange delivery of transportation vouchers to young apprentices as soon as received by the HR Department (for locations distributing cards) and request cancellation of VT cards when necessary;
· Process requests to change food/meal tickets for the HR Department following standard procedures;
· Arrange, upon request by the apprentice, modifications to transportation vouchers with the HR Department;
· Verify the closing of Young Apprentices’ time sheets (working hours, absences, medical certificates, apprentice and educator signatures, etc.);
· Send signed time sheets of young apprentices to the HR Department;
· Print pay slips and deliver them to young apprentices;
· Interact with the HR Department to clarify apprentices’ questions regarding payment and request corrections whenever necessary;
· Inform the HR Department about apprentices’ program terminations and arrange required documentation;
· Schedule termination medical exams with the designated clinic and track this information, keeping Social Educators of the final training informed.
REQUIREMENTS
* Completed high school education.
* Preferably enrolled in Administration or Human Resources Management (from the 2nd semester onward).
* Proficiency in computer applications, especially Excel.
* Must reside in Lagoa da Prata.
PREFERRED QUALIFICATIONS
* Ability to handle digital platforms.
* Strong communication skills, time management capability, and planning ability.
Job Type: Full-time, Permanent/CLT
Compensation: R$1.500,00 – R$1.633,00 per month
