General Secretary

The General Secretary is the professional responsible for managing, organizing, and implementing all academic and administrative processes related to students’ academic life, ensuring compliance with institutional regulations and current educational legislation, as well as providing efficient support to course coordinations, faculty members, school leadership, and other academic departments. **Job Requirements** **Academic Qualifications** * Completed undergraduate degree, preferably in Administration, Pedagogy, Educational Management, or related fields. * Postgraduate specialization in Academic Management, Management of Higher Education Institutions (HEIs), or related areas (desirable). **Experience** * Proven experience in Academic Secretariat routines or administrative departments of HEIs. * Knowledge of current educational regulations, especially those issued by the Ministry of Education (MEC), the Brazilian National Education Law (LDB), official ordinances, and regulatory systems. * Leadership experience in team management is an advantage. **Key Responsibilities** * Coordinate and supervise all activities of the General Secretariat, ensuring the quality, accuracy, and timeliness of academic information. * Manage academic processes including enrollment, re-enrollment, enrollment suspension, transfers, document requests, assessments, academic records, and issuance of transcripts, diplomas, and certificates. * Ensure compliance with educational legislation (MEC, INEP, LDB, official ordinances, and internal regulations). * Organize, control, and archive academic documents in accordance with institutional and legal standards. * Supervise academic registration and record-keeping within the institutional system (e.g., grades, attendance, class journals, curricula, and academic workflows). * Monitor academic deadlines, calendars, regulatory procedures, and internal and external audit routines. * Guide students and faculty on academic regulations, procedures, and administrative workflows. * Support course recognition and re-recognition processes with the MEC. * Prepare reports, indicators, and analyses concerning academic life and institutional performance. * Train, direct, and supervise the General Secretariat team. * Ensure confidentiality, ethics, and compliance in handling students’ academic data. * Collaborate with departments such as Finance, Course Coordinations, IT, Human Resources, Legal Affairs, and School Leadership to ensure integrated processes.
