There's always a new opportunity to show your way of caring for everyone! **\#THISISTHEPLAN** **Responsibilities and duties** **Summary Description:** Perform support activities for administrative processes across all areas of the organization, encompassing diverse tasks such as follow-ups, recording document inflow and outflow, phone contacts and calls, serving suppliers, the public, and employees from other departments, providing and receiving information, handling various documents from creation to receipt and authorization, completing all necessary procedures related to them, and preparing reports and spreadsheets according to the guidelines of the respective area. **Detailed Description:** Register incoming and outgoing documents, sorting them, verifying data and dates, distributing them to recipients, as well as issuing/creating spreadsheets and documents, and taking necessary actions. Review documents, identifying irregularities, checking calculations, classifying, processing and entering information, and archiving. Receive documents, spreadsheets, and other registration information, guides, contracts, implementations, and/or updates, and enter the information into the system. Draft and fill out documents, texts, and spreadsheets, update records, complete forms, prepare drafts, arrange authorizations, issue letters and memorandums. Prepare reports, forms, and spreadsheets by collecting information and checking indices and indicators. Create calculation spreadsheets, indicators, organizational charts, flowcharts, as well as various reports and presentations. Format documents, procedures, forms, flowcharts, among others, controlling completed work and required deadlines. Monitor administrative processes, checking deadlines, locating and tracking processes and notifications, and providing, under supervision, information on work-related matters based on instructions from the immediate supervisor. Provide service to the public and organizational staff, taking necessary actions on relevant matters and making required referrals. Control consumable and office supplies, checking available quantities, filling out requests, and submitting them to the responsible department. Manage the dispatch and receipt of parcels and correspondence, recording information in predefined tracking systems, as well as protocols when necessary. Print and digitize documents, ensuring proper and conscious use of resources. Organize, archive, and maintain control—both electronic and physical—of departmental documents under the guidance of the immediate supervisor, placing them in appropriate folders and transferring them to archives or disposal according to annual routines established by management. Assist in organizing and preparing meetings and events, making necessary requests and confirmations. Safeguard equipment, resources, materials under responsibility, and the work environment. Comply with internal rules, procedures, regulations, corporate policies, and occupational safety standards applicable to the department. Advise and substitute for the department head when requested. Support employees in registering procedures in the system. Monitor employee punctuality and attendance. Create work schedules and vacation schedules for employees; Review outpatient treatment forms related to billing submissions; Generate weekly and monthly reports; Identify non-conformities and forward them to the responsible party; Record indicators as required; Provide necessary support to new employees to ensure smooth workflow in the department.
